Overview

Fleet Management App Development Company in Ahmedabad

A fleet management app gives the owner of a fleet a live view of every vehicle and driver: location, trips, fuel, maintenance and the documents that keep a vehicle legally on the road. Raqbash builds driver and manager apps that read from trackers, OBD devices and phones.

Gujarat fleets are rarely uniform: one Vatva yard might hold an old truck with a basic tracker, new vehicles with maker telematics and hired ones with only the driver's phone. Owners want all three on one screen.

The app ecosystem

The Fleet Management App Ecosystem We Build

A fleet app has three parts: drivers, managers and the office.

  • Driver app

For drivers of trucks, vans, buses or service vehicles.

    • Start and end duty
    • Run the pre-trip checklist
    • Log fuel and expenses with receipts
    • Report a breakdown with photos
  • Fleet manager app

For owners and managers away from the desk.

    • See every vehicle live
    • Act on overspeed and idling alerts
    • Approve expenses
    • Assign vehicles and drivers
    • Track renewals due
  • Web dashboard

For accounts, maintenance and the control room.

    • Fuel and cost per km reports
    • Service schedules by odometer
    • Driver scorecards
    • Trip history and replay

Key features

Key Features of a Fleet Management App

These six features turn tracking data into same-day decisions.

  1. Tracking from any source

Trackers, OBD dongles, maker telematics and drivers' phones feed one live map.

  2. Driver behaviour scores

Overspeeding, harsh braking and idling roll into a weekly score, so coaching starts with facts.

  3. Fuel monitoring and theft alerts

Sensor data and fill-ups give mileage per vehicle; sudden drops while parked raise an alert.

  4. Maintenance by odometer and date

Services, tyres and batteries scheduled by kilometres or days, with each workshop bill logged.

  5. Trip logs and expenses

Tolls, fuel and loading charges logged with a receipt photo; each trip closes with its full cost.

  6. Document expiry reminders

RC, insurance, PUC, fitness, permits and licences tracked, with reminders 30, 15 and 7 days ahead.

How it works

How a Fleet Manager's Morning Runs on the App

A fleet manager's morning takes five steps, mostly before reaching the yard.

  1. Step 1

    Read the overnight summary

Vehicles out, idle and in the workshop.

  2. Step 2

    Clear the alerts

Overspeed, fuel and route deviations, each with a map.

  3. Step 3

    Coach two drivers

Share a scorecard with the lowest scorers.

  4. Step 4

    Book due services

Vehicles near their service interval go to the workshop.

  5. Step 5

    Renew documents

Insurance and PUC renewals assigned before they lapse.

Security & compliance

Security & Compliance for Fleet Management Apps

Fleet apps track people as well as vehicles, so driver data has a clear purpose and a time limit.

  • Driver tracking with a clear basis

Phone tracking runs on duty only, with a notice and consent or another basis your legal team confirms.
  • Device data you can trust

Tracker data is validated at the gateway, and AIS-140 devices keep reporting to the state backend where required.
  • Access by branch and role

Branch managers see their own vehicles; accounts see costs, not live driver locations.
  • Mock-location and rooted-device detection
  • Encrypted device-to-server connections
  • Retention limits on location history
  • Audit log for every dismissed alert

Cost & timeline

Fleet Management App Development Cost

A fleet management app with live tracking, alerts, document reminders and a driver app typically costs ₹10–18 lakh; adding fuel analytics, maintenance, driver scoring and several device types costs ₹22–40 lakh.

  • Most common starting point

    Tracking and alerts

    ₹10–18 lakh

    12–16 weeks

    Fleets on one tracker type.

    • Manager and driver apps

    • Overspeed and idling alerts
    • Document reminders
  • Full fleet suite

    ₹22–40 lakh

    5–8 months

Mixed fleets that want cost control.

    • Everything in Tracking

    • Driver scores and web reports

What moves the cost of a fleet management app

  • Device types

Each tracker protocol or maker telematics API adds an adapter.

  • Fleet size

Thousands of vehicles reporting every few seconds need a time-series design.

  • Fuel and CAN data

Fuel sensors need calibration per tank before alerts can be trusted.

  • Integrations

ERP, payroll or fuel-card links add mapping and testing.

FAQ

Fleet Management Mobile App Development Services in Ahmedabad: FAQs

Practical answers for teams planning a fleet management app.

Which GPS trackers and telematics devices can the app connect to?

Most of them. We connect commercial GPS trackers over their TCP or MQTT protocols, OBD-II dongles, and maker telematics where the vehicle maker offers an API. If you already have trackers fitted, we audit their protocols first, so you rarely need to replace hardware. New devices plug into the same gateway later without app changes.

Can we track vehicles using only the driver's phone?

Yes, and it suits hired or occasional vehicles well. The driver app tracks location while the driver is on duty, using an Android foreground service that survives most battery savers. Accuracy and uptime are lower than a wired tracker, because phones can be switched off, so we usually recommend trackers for owned trucks.

How is driver behaviour scored?

Each trip records overspeeding against limits you set, harsh braking, sharp acceleration and idling time. Events are weighted by severity and distance driven, and roll into a weekly score per driver. Managers can open any event on the map before raising it. You choose the thresholds, and drivers can see their own scores in the driver app.

Can the app detect fuel theft?

It can flag likely theft when the vehicle has a calibrated fuel level sensor. A sudden drop while the engine is off or the vehicle is parked raises an alert with location and time. Without a sensor, the app compares fill-ups and receipts with kilometres driven, which shows poor mileage trends but not the exact moment.

Does the app remind us before RC, insurance, PUC or permits expire?

Yes. Each vehicle stores its RC, insurance, PUC, fitness certificate and permits with expiry dates, and each driver their licence. Reminders go to the right manager 30, 15 and 7 days ahead by push and WhatsApp. Uploaded renewals update the record, so the office always has the current copy when a vehicle is stopped.

Do our vehicles need AIS-140 trackers?

It depends on the vehicle. AIS-140 rules mainly cover public service vehicles such as buses and taxis, while requirements for goods vehicles vary by state and permit type, so confirm with your RTO or transport consultant. Where your vehicles have AIS-140 devices, we read their data alongside other trackers, while the device keeps reporting to the state system as required.

How much does a fleet management app cost?

Typically ₹10–18 lakh over 12–16 weeks for manager and driver apps with live tracking, trip replay, alerts and document reminders. A full suite with fuel sensors, maintenance, expenses, driver scores and web reports usually costs ₹22–40 lakh over 5–8 months. Device variety moves the price most, so we audit your trackers before quoting.
